How We Handle Your Details

What we ask for, why we ask for it, who else sees it, and how to get it removed. No small print.

Effective 3 September 2026. This policy covers Crystalene Landscape Design Planners Pte Ltd. It explains how we collect, use, share and protect your personal data under Singapore’s Personal Data Protection Act 2012 (the PDPA).

What we collect

We ask for what we need to answer you and price the job. Nothing else.

When you send an enquiry through this website, we collect your name, phone number, email address, and what you write in the message. If you attach photos of the site, we collect those too.

We never ask for NRIC numbers or payment details on this website. If the job goes ahead, our team collects anything further from you directly.

Our servers also see your IP address. We use it to stop one address flooding the contact form. It sits in memory for about an hour and then it is gone. We do not write it to a file and we do not use it to work out who you are.

Why we collect it

We use your details to reply to you, prepare a quote, arrange a site visit, and carry out any work you ask us to do. We also keep our own records of enquiries and jobs.

We do not sell your personal data. We do not send marketing you did not ask for. If we ever want to use your details for something beyond answering you and doing the work, we will ask you first.

Singapore has a Do Not Call Registry. We do not send marketing calls or texts. If that ever changes, we will check the registry first and get your clear consent.

Who else sees it

Three companies help us run this website and our email. Each one handles only what it needs to.

  • Microsoft. Your enquiry is delivered to our Microsoft 365 mailbox. The acknowledgement we send back to you goes out from it.
  • Vercel. Hosts this website and passes your form submission to our mailbox.
  • Google. Provides the website measurement described below. Google does not receive the contents of your enquiry.

All three store data outside Singapore. Their contracts require them to protect it to a standard comparable to the PDPA. Apart from these three, we share your details only where the law requires it.

Cookies and website measurement

We use Google Analytics and Google Ads to see how people find and use this website. Which pages get read. Which buttons get tapped. Which enquiries came from an advert.

None of this sets a cookie unless you agree to it. Before you agree, the measurement is anonymous. We can count that a page was read. Nothing is stored on your device and nothing follows you between visits.

If you agree, Google sets cookies that recognise your browser next time. That is how we tell a returning visitor from a new one, and how we know which advert led to an enquiry.

We never send your name, phone number, email address or your message to Google Analytics. What we record is that an enquiry happened, the page it came from, and the service it was about.

You can change your mind at any time. Clear this site’s cookies in your browser, or block them in your browser settings. Declining changes nothing about how the website works or how we answer you.

If you clicked one of our adverts and then sent an enquiry, and you agreed to cookies, Google may match a scrambled version of your email address or phone number to that click. This tells us which advert worked. Google does not get a readable copy, and this only happens with your consent.

How long we keep it

We keep an enquiry for as long as we need it to answer you and follow up. After that we keep it for our business records.

For an enquiry that did not become a job, that is about 24 months. For completed work we keep records longer, because we need them for warranties, for any dispute, and for the tax and accounting periods the law sets.

Photos you send stay attached to the enquiry email. We do not store them anywhere else on this website.

Keeping it safe

Your enquiry travels over an encrypted connection and lands in our business mailbox. Only the people who need it to reply to you and do the work can open it.

No system is perfectly safe. What we can do is avoid holding your data in places it does not need to be, and that is what we do.

If something goes wrong

If personal data is lost or exposed in a way that is likely to cause you significant harm, we will tell you, and we will notify the Personal Data Protection Commission. The PDPA requires this and we treat it as a duty, not a choice.

Your rights

You can ask us to:

  • tell you what personal data we hold about you, and how we have used it
  • correct anything that is wrong or out of date
  • withdraw your consent. After that we stop using your details, except where the law says we must keep them

Write to us and we will reply as soon as we reasonably can. The PDPA gives us up to 30 days. If we need longer, we will tell you why and when to expect an answer.

We may need to check who you are first, so that we do not hand your details to the wrong person.

If you are not happy with how we handled your request, you can raise it with the Personal Data Protection Commission of Singapore.

Changes to this policy

If we change how we handle personal data, we will update this page and change the date at the top. We will flag anything significant on the website.
